The Job Planner is where you turn a job into an actionable, day-by-day plan. You review any important notices, break the work into one or more days, and for each day decide which tasks get done, who’s working (your crew, subcontractors, or both), and what vehicles and equipment you need. A live Plan Effectiveness panel shows how your plan compares to average as you go, so you can see the impact of your choices before you submit.
You don’t need to do any math. As you assign work and hours, the planner tracks quantities, totals, and effectiveness for you — your job is to lay out a realistic plan for the crew.

Open the Job Planner

Open the job

Click the job you’re planning on the Jobs list — it opens the client’s project page. Go to the Job Plan tab and choose Create Plan (or Continue Planning on a saved draft) to open the Job Planner. (You’ll need to be assigned as the crew lead — see Open and assign a crew lead.)

Check the header

The top of the planner shows the Job Planner title and the client’s name, with Back to return to the job. Save Draft and Submit Plan sit on the right — Submit stays disabled until the plan is complete.
You can stop any time and come back later. Use Save Draft to keep your progress, then reopen the planner to keep building right where you left off.

Step 1 — Clear the Important Notices

Before you can add any days, you have to clear the Important Notices section at the top. This is how the planner makes sure you’ve seen anything that affects the job.
  • Crew Notes — notes left for the crew about this job. Review them and check the box to acknowledge.
  • Estimate Changes — if the estimate changed since the plan was last saved, you’ll see a list of what was added, removed, or modified. Review and check the box to acknowledge.
Once you’ve checked every required box, click Acknowledge. The section collapses, its status changes to Complete, and the planner is ready for your first day.
If there’s nothing to review, you’ll see “No important notices for this job” and the section is already done — you can go straight to building days.

Step 2 — Add a day

In the Build your plan section, click Add Day. Each day is its own block titled Day 1, Day 2, and so on, with a status of In Progress until everything required is filled in. Add as many days as the job needs, and use the trash icon on a day to remove it. Inside each day you’ll work through six sections in order. As you finish one, the planner opens the next for you.

1. Work Order

This is the list of tasks from the job, grouped by work area. For each task you want to tackle on this day:
  • Check the task to add it to the day.
  • Use the minus and plus buttons to set how much of it you’re doing. A badge shows the amount as done/total (for example 5/12) and how much is % left across all days.
  • When a task is fully covered across your days, it’s marked Fully Allocated.
Anything you don’t finish on one day carries over and stays available for the next day. A task flagged New came from a recent estimate change — give it a closer look.
You don’t have to fit everything into one day. Spread a task’s quantity across several days — the planner keeps a running total so you never assign more than the job calls for.

2. Add Employees

Choose who’s working this day and for how long.

Open the picker

Click Add another employee to open the Request Employees window.

Pick your crew

Search by name and check each person you want. Each one shows their role (such as Crew Leader or Crew Member), and a Selected count keeps track. Click Save Changes.

Set hours

Back on the day, set each person’s Hours with the stepper. Remove anyone with the trash icon.

3. Assign Subcontractors

Optional. Click Assign Subcontractors to pick the outside companies working this day alongside, or instead of, your own crew. This section opens as soon as the day’s work order is done, so you can fill it in before or after your employees. See Add subcontractors.

4. Add Vehicles

Pick how many vehicles of each type you need for the day. Check a vehicle type, then use the stepper to set the count. The planner only lets you go up to the number actually available.

5. Add Heavy Equipment

The same as vehicles, for equipment. Check each equipment type you need and set the quantity, up to what’s available.

6. Add Daily Notes

Optional. Add any notes you’d like the team to see for the day. This section isn’t required, so you can leave it blank and still complete the day.
A day shows Complete once its required sections — work order, employees, vehicles, and equipment — are filled in. Assign Subcontractors and Daily Notes are optional. Each day still needs at least one employee or subcontractor. A day with neither shows “At least one employee or subcontractor must be requested”.

Watch your Plan Effectiveness

As you assign hours, the Plan Effectiveness vs. Average panel updates live:
  • Planned Hours vs. Estimate compares the hours you’ve planned against the job’s estimate.
  • The gauge and percentage show how your plan stacks up against the average — green means you’re saving more time than average, and a message tells you where you stand.
  • Projected Bonus Pool estimates the bonus your plan would generate based on the time it saves.
If there’s no company average for the current quarter yet, the gauge can’t compare you to anything. Instead it centers the needle and shows your plan’s own time savings, with a note that says so — the panel still tracks your hours and Projected Bonus Pool as normal.
If the job’s estimate has no labor hours — for example, a materials-only or subcontracted job — there’s nothing to measure your plan against, so the Plan Effectiveness vs. Average panel isn’t shown at all: no gauge, no Planned Hours vs. Estimate, and no Projected Bonus Pool. You can still build and submit the plan as usual. Jobs like this don’t earn a bonus — see My Wallet.

Step 3 — Save or submit

When you’re ready:
  • Save Draft keeps your progress without finalizing. Use it any time, and come back to finish later.
  • Submit Plan sends the finished plan on for approval. It only becomes available once the notices are cleared and every day is complete.
If a banner warns that the work order quantities changed since the plan was saved and your days now exceed them, use Clear Plan to start the days over with the correct amounts, then re-plan.
