Your profile settings hold the details that are about you rather than your company: your photo and contact details, the days and hours you work, and how you sign in. Everyone on the team can edit their own.

Open your profile settings

Click your name

At the bottom of the sidebar, click your name or photo. A small menu opens.

Choose Edit Profile

Select Edit Profile. A User Preferences window opens with three tabs down the side: Profile, Working Preferences, and Security.
The same menu has View Profile, which shows your profile the way teammates see it, with your wins and badges. See Badges.

Profile

The Profile tab holds your photo and personal details.
  • Photo — press Upload Photo (or Change Photo) and pick a JPG or PNG at least 256×256. Use Remove Photo to go back to your initials. Photo changes take effect right away.
  • Full name — required, between 2 and 50 characters.
  • Phone number — optional.
  • Home Address — start typing and pick your address from the suggestions. Best Match uses it as your starting point on days you start from home (see below).
  • Payroll ID and Pay Structure — shown for reference only. An administrator sets these on the Users page — see Users.
  • About — a short note about you or what you do, up to 500 characters.
Press Save Changes to save your name, phone, home address, and about text. If the save fails, you’ll see “Failed to update profile. Please try again.”

Working Preferences

The Working Preferences tab tells Menaia when you work and where your day starts. Best Match uses these settings to suggest who to send on a lead activity, based on availability and driving distance. See Pick who goes with Best Match.
You can always fill in this tab, but it’s only used when Best Match is turned on for your workspace. If you don’t see Best Match when scheduling a lead activity, it isn’t turned on for your workspace.
Each day of the week has its own row:
  • On/off switch — turn a day off to skip matching that day. Turning a day on sets it to 8:00 AM–5:00 PM with a limit of 3, which you can then adjust.
  • Start Point — Home starts your day from the Home Address on your Profile tab. Branch starts it from the branch the visit is being booked in. If you pick Home but haven’t saved a home address, your branch is used instead.
  • Hours — your start and end time for that day. The end time must be after the start time, or you’ll see “End time must be after start time.”
  • Lead activity limit — the most lead activities you can be matched to that day, from 1 to 20.
To set the start point for the whole week at once, use All from home or All from branch. They change only the days that are switched on. Press Save changes when you’re done. The button stays greyed out until you’ve changed something and every row is valid. You’ll see “Working preferences updated successfully,” or “Failed to update working preferences” with the reason if it didn’t save. Cancel throws away unsaved changes.
If you’ve never saved this tab, you’re treated as working Monday to Friday, 8:00 AM–5:00 PM, starting from your branch, with a limit of 3 lead activities a day.
Once you reach your lead activity limit for a day, Best Match won’t suggest an opening for you that day. Schedulers can still pick you and choose the date and time themselves.

Security

You sign in with a one-time code sent to your email. On the Security tab you can also set a password, which adds a second way to sign in with your email and password.

Enter a new password

Type it in New password. It must be at least 8 characters.

Confirm it

Type it again in Confirm password. If the two don’t match, you’ll see “Passwords must match.”

Press Set password

You’ll see Password saved. From now on you can sign in with either your password or an email code.
If you already have a password, setting a new one here replaces it. If you’re locked out and can’t reach this tab, ask an administrator to send you a reset email — see Reset a password.
