Scheduling a job is how you tell your team who is working, where, and when. You start from the Schedule page, choose the job, fill in one or more days of work, assign the crew, and then either save your progress as a draft or publish it so everyone gets notified.
You can build the schedule a little at a time. Save it as a draft whenever you want and come back later — nothing is sent to your team until you publish.

Open the New Job form

Go to the Schedule page

Open Schedule from the main navigation. This is the calendar where every job, task, and time-off entry for your branch lives.

Click Create New, then Job

Press the Create New button in the top-right corner and choose Job from the menu. A panel titled Schedule New Job slides in from the right.
Already looking at the right day on the calendar? When you add a job, the form starts on that date — so navigate to the week you have in mind before you open it.

Pick the client and job

At the top of the panel you’ll choose what you’re scheduling.
  • Client — Start typing a name in the Search client box and pick the customer from the list.
  • Job — Choose the Job for that client. If the client has only one open job, it fills in automatically. Otherwise, search and select the one you want.
  • Address — This fills in on its own from the job and is shown for reference.
You have to pick a Job before you can save or publish. The job is what ties the schedule to the right customer, address, and crew.

Fill in the day’s details

Each day of work is its own tab. You start on Day 1. For the selected day, fill in:
  • Shift Title — An optional label for the day, for example Day 1 - Smith Residence. If you leave it blank, the day is simply called “Day 1,” “Day 2,” and so on.
  • Team Lead — The crew leader running the day. Pick from the list of available leads.
  • Job Date — Click the date button and choose the day on the calendar.
  • Start Time and End Time — Set when the shift begins and ends.
  • Shift Notes — Optional notes for anything the crew should know about that day.

Assign the crew

Use the Assign To field to choose who works the shift.

Open the team picker

Click the Assign To box. You can browse people by role — Crew Member, Crew Leader, or Subcontractor — or just start typing a name in the Type to search box.

Select your people

Check off everyone working that day. Each person is grouped under Available or Unavailable for the date and time you set, so you can see at a glance who has a conflict before you assign them.

Add a subcontractor if needed

Under the Subcontractor list, choose + Add subcontractor to create one on the spot. Enter their name (and an optional email and phone for notifications), then Add. They’re selected for the day right away.
A person marked Unavailable already has a shift or time off that overlaps this one. You can still assign them, but it’s worth checking the Resolve a conflict guide first.

Add more days

Many jobs run across several days. To add another:

Click + Add Day

Press + Add Day above the day’s details. A new tab appears (Day 2, Day 3, and so on), pre-set to the next date.

Fill in the new day

Switch between days using the tabs and fill in each one’s time and crew, just like the first.

Remove a day you don't need

Select the day’s tab and click the trash icon next to it to remove it. Removing a day that was already saved asks you to confirm first.

Save a draft or publish

The buttons at the bottom of the panel decide what happens next.

Save as a draft

Click Save Draft to keep your work without notifying anyone. The day shows up on the calendar as a draft so you (and others who can see the schedule) know it’s a work in progress. Come back any time to finish it.

Publish the job

When the schedule is ready, click Publish Job and choose what to send:
  • All Shifts — publish every day at once.
  • Publish Day 1, Publish Day 2, … — publish a single day and leave the rest as drafts.
A day can only be published once it’s complete — it needs a date, a start and end time, and at least one person assigned. Until then, that day’s publish option stays greyed out.

Choose who gets notified

When you publish, a Customize Notifications window appears so you control who hears about it:
  • Notify Assigned Team — notify the people assigned to the shift. Each person hears about each day they’re on.
  • Notify Sales Person — notify the salesperson on the job that their client’s job is on the calendar.
  • Email Client — email the customer. Their primary email is filled in for you, and you can add more recipients with the Email button.
Turn each one on or off, then confirm to publish. Your team and the salesperson aren’t limited to email. Their notifications go out by email, text, or in-app, depending on your branch’s notification preferences (Shift Published for the team, Shift Published for Your Client for the salesperson). A few things to know about who hears what:
  • The salesperson gets one notification per publish. When you publish several days at once, they get a single message covering all of them — for example, “3 shifts have been scheduled for your client …” — instead of one per day.
  • You’re never notified about your own publish. If you’re on the crew or you’re the job’s salesperson, you won’t get a notification for the shifts you just published.
  • A salesperson on the crew isn’t notified twice. When Notify Assigned Team is on, a salesperson who’s also working a day gets the crew notification for that day, not the salesperson one. If you turn off Notify Assigned Team, they get the salesperson notification for every day instead.
Saving a draft can still email the client if you want a heads-up sent, but it never notifies your team — only publishing does that.

Edit or delete a scheduled job

To change a job you’ve already scheduled, open it again from the calendar. The same panel reopens with its days filled in, so you can adjust times, swap crew, add days, or republish. To remove it entirely, open the job and click Delete. You’ll be asked whether to notify the assigned team and the client about the cancellation before it’s removed.
