A scheduling conflict means someone you’re about to assign is already booked for that time — on another job, a task, a lead activity, or approved time off. Menaia checks for these as you build the schedule and warns you before anything is published, so you can fix the overlap or knowingly schedule over it.
Conflicts are based on the date and time you’ve selected for the event you’re scheduling. Change the time or the people, and the availability updates right away.

See who’s free before you assign

When you pick a team for a job (or assign someone to a task, time off, or lead activity), the people list sorts itself by availability for the time you chose:
  • Available — a green dot. This person has nothing else booked during that window.
  • Unavailable — a red dot, grouped under an Unavailable heading. This person already has something on their schedule that overlaps.
You can still select someone from the Unavailable list — the dot is a heads-up, not a lock. Use it to make a deliberate call rather than discovering the clash later.

If you go ahead and try to publish with one or more overlaps, Menaia stops and shows the Scheduling Conflict dialog before saving.

Read the conflict list

The dialog lists every overlap it found. Each line names the person, what they’re already booked for (the job, time off, task, or lead activity), and the date and time of that existing commitment — so you can see exactly what would collide.

Decide how to handle it

You have two choices at the bottom of the dialog:
  • Edit Shift — go back without publishing so you can change the time, swap the person, or remove whoever is double-booked.
  • Continue — publish anyway, scheduling this person over their existing commitment. Choose this only when you mean to.
Continue does exactly what it says — it schedules over the conflict. The other commitment stays in place, so that person now has two things booked at once. Use Edit Shift if that isn’t what you want.

Common ways to clear a conflict

  • Move the time. Adjust the start or end so it no longer overlaps the existing booking. The availability dots refresh as soon as you change the time.
  • Swap the person. Pick someone from the Available list instead of the one flagged in red.
  • Trim the team. If you only need to drop the double-booked person, deselect them and keep the rest.
  • Reschedule the other event. If the existing booking is the one that should move, open it on the calendar and change its time instead.
Conflicts cover more than jobs. Approved time off and assigned tasks and lead activities all count, so a red dot might mean someone is out for the day rather than on another job.
