When someone on your crew clocks out, their shift lands in Pending Approval. As a manager, your job is to look it over, correct anything that’s off, and approve it. Approving a shift confirms the recorded times are right and marks the shift as final.
Approving shifts is a manager task. If you only see your own shifts, you won’t see the approval buttons — that’s expected.

Open Job Shifts

Go to Job Shifts from the main navigation. This page lists past, current, and upcoming shifts for your crew, with a Status badge on each one.

Switch to the right view

Use the tabs at the top right — Today, All, or Completed — to choose which shifts you’re looking at. Today is the quickest place to catch shifts that just finished.

Filter down to Pending Approval

Open the filters and, under Status, check Pending Approval. The list narrows to just the shifts that need your review. You can also filter by Employee, Client Name, Shift Name, Shift Date, or Pay Structure to find a specific one.
A shift’s badge tells you where it stands at a glance: Upcoming, In Progress, Pending Approval, or Approved.

Review and approve a shift

Open the shift

Click a shift in the list (or View Details) to open its details panel. You’ll see the recorded start and end times, the total time, and any breaks the crew member logged.

Check the times

Compare the recorded start, end, and break times against what actually happened. If everything looks correct, you’re ready to approve.

Approve the shift

Click Approve Shift. The status changes to Approved, and the shift is locked in as final.

Fix the times before approving

If the recorded times need a correction, you can edit and approve in one step.

Open the shift and choose Edit Shift

In the shift details panel, click Edit Shift.

Adjust the start, end, and breaks

Tap the START or END time to set a new clock-in or clock-out time. Under Shift Breaks, use Add to log a break, the trash icon to remove one, or tap a break’s time to adjust it. The Total Time updates as you go.

Approve with your changes

Click Approve Shift. Your edits are saved and the shift is approved at the same time.
If a time doesn’t add up — for example, an end time before a start time, or a break that falls outside the shift — a message explains what to fix, and the approve button stays disabled until it’s resolved.

Approve an upcoming shift with no recorded times

Sometimes a crew member works a shift but never clocks in. For an Upcoming shift, you can enter the times yourself.

Open the shift and choose Enter Shift Details

In the details panel, click Enter Shift Details.

Fill in the times and breaks

Set the START and END times, and add any breaks.

Save and approve

Click Approve Shift Details to record the times and approve the shift in one step.

Undo an approval or clear a shift

Made a mistake, or need to start over? Open the shift and click Reset Shift.
Reset Shift permanently erases all recorded clock-in, clock-out, and break data and returns the shift to its original unclocked state. This can’t be undone. After a reset, the times can be entered again from scratch.

When a crew member requests a change

Crew members can’t approve their own shifts, but they can ask for a correction. When a shift is in Pending Approval, they can edit the times and submit the change with a required Shift change note explaining why. That note shows up on the shift (look for the View Note link or Shift Change Note column) so you have the context before you approve.
After you’ve reviewed the note and the requested times, approve the shift as usual — edit further first if you need to.
