A client is created when you convert a lead into one. If your list is empty, start by converting a lead — the new client then appears here automatically.Clients can also arrive from QuickBooks: if you turn on Import existing customers while connecting QuickBooks, your existing QuickBooks customers are pulled in as clients when you finish setup. They don’t have projects yet, so find them by setting the Branch filter to Unassigned. Customers without an email address or phone number are skipped.

Browse your clients
At the top of the page, a Table / Insights switch changes how you look at your clients:- Table — the full client list, with search and filters. This is the view the rest of this section covers.
- Insights — an AI-written read of your clients for your active branch: a headline takeaway, a few supporting points, a recommended next action, and a chart. Use New insight to regenerate it from a fresh angle.

Open the Clients page
Go to Clients from the main navigation. The heading reads Clients, and the page lists everyone you work with.

Search for someone
Use the search box at the top — Search by name, email, phone or address… — to narrow the list as you type. Any client whose details match shows up instantly.

Open a client's summary
Click a client’s row, or its View Summary button, to open their full profile.
Sort and customize the list
- Sort — Click the sort button (the up-and-down arrows) to open Sort by, then pick Name (by last name), Email, Phone, Date added, or Last updated. Pick the same option again to flip the direction. Reset to Default goes back to the most recently added clients first.
- Customize View — Click the sliders icon to show or hide columns, drag them into a different order, or click Reset to Default. See Customize the columns for the full walkthrough.
By default the list shows the clients of your active branch. Open the filters and use the Branch filter to view the clients of another branch you belong to — or, if you can see all clients, clients that don’t have a project yet (Unassigned). When you open View Summary for a client while the Branch filter points at another branch, your active branch switches to that branch first.
The client summary
Opening a client brings you to their summary header, which gathers the essentials in one place:- Their name and a Client since date.
- Quick-tap email, phone, and address links — tap the email to start a message, the phone to call, or the address to open it in maps.
- Their projects, which you can open to dig into individual jobs.

Open the editor
On the client summary, click the pencil icon next to the client’s name. The Edit Client Details window opens.

Update contacts
Each contact appears as its own card (Contact 1, Contact 2, and so on). Update names, phone, and email as needed. To add another person, click Add Contact. See Manage contacts for the full rundown on primary and secondary contacts.

Set the billing address
Under Billing Address, start typing in the Address field and pick the match from the suggestions. This is the address used for billing, which can differ from where the work happens.

Set the Client Since date
Use the Client Since date picker to record when the relationship began. This is what shows as “Client since” on the summary.

Save
Click Save changes. Your updates apply right away. To back out without saving, click Cancel.
View imported history
If some of a client’s records were brought over from the system your organization used before Menaia, a View imported history option appears in the three-dots menu, with a count of how many records came across. It opens a read-only window so you can look back at that earlier history without it cluttering the client’s day-to-day view.1
Open the menu
On the client summary, click the three-dots menu in the top-right corner, then choose View imported history. The count next to it tells you how many records were imported.

Browse the records
The Imported history window opens, marked Read-only. Use the filter chips along the top to narrow by record type — All, plus one chip for each type that came across, such as Job, Estimate, Invoice, or Payment, each with its count — or type in the search box to find a specific record. The list shows each record’s Type, Title, Date, Status, and Amount.

Open a record
Click any row to see that record’s full detail. When you’re done, close the window to return to the client summary.
Imported history is read-only — you can look back at it but not edit it. If a client has no imported records, the View imported history option doesn’t appear.
Delete a client
If a client account was created by mistake or is no longer needed, you can remove it.1
Open the menu
On the client summary, click the three-dots menu in the top-right corner.

Choose Delete Client
Select Delete Client. A confirmation window asks you to confirm.

Confirm
Click Delete to remove the client. This can’t be undone.
Deleting a client is reserved for managers. If you don’t see the three-dots menu or the Delete Client option, your role doesn’t include it — ask a manager for help.
