A contact is a person you reach out to about a client or a job — a homeowner, a tenant, a property manager, or anyone else involved. Each client has one primary contact (the main point of contact) and can have any number of secondary contacts. Keeping these accurate means the right person hears from you at the right time.
In the Edit Client Details window, every contact needs all five fields: First Name, Last Name, Phone, Email, and Relationship to Property. In a job’s Contact Details window, only a Last Name and a Phone number are required. If you try to save without them, you’ll be prompted to fill in the required fields.

Primary vs. secondary contacts

  • The primary contact is the main person for the client — their name and details show on the client summary and lead with the job.
  • Secondary contacts are everyone else worth keeping on file: a spouse, a tenant, a property manager, an HOA representative.
You can always change which person is primary — only one contact can hold that role at a time.

Edit a client’s contacts

Open the editor

From a client’s summary, click the pencil icon next to their name to open Edit Client Details.

Review each contact card

Each person appears as their own card — Contact 1, Contact 2, and so on — with fields for First Name, Last Name, Phone, Email, and Relationship to Property.

Set the primary contact

Each card has a Primary Contact switch. Turn it on for the person who should be the main point of contact; the others switch off automatically.

Add another contact

Click Add Contact to add a new card, then fill in their details.

Save

Click Save changes. To discard, click Cancel.
You can also manage the contacts for a single job from its Contact Details card — click the edit button there to open the Contact Details window. It works the same way: add contacts, set the primary, and save.

Capture the relationship to the property

For each contact, use the Relationship to Property menu to record how they’re connected:
  • Homeowner
  • Tenant
  • Landlord
  • Property Manager
  • Occupant
  • HOA / Strata
  • Other
This helps your team know who they’re talking to — and who has the authority to approve work.

Remove a contact

Click Delete Contact

On the contact’s card, click Delete Contact.

Confirm the removal

A Remove contact? prompt appears. Click Remove contact to confirm, or Cancel to keep them.

Save your changes

The contact is removed when you Save. They’ll still stay attached to any other projects or leads they’re linked to — removing them here only unlinks them from this client or job.
You can’t remove the last remaining contact — every client and job needs at least one. Removing existing contacts is also limited by your role; if the Delete Contact button isn’t available, ask a manager.
