Lead statuses are the labels your team puts on a lead to show where it stands — for example New, Needs Follow Up, Quoted, or Won. This page is where an admin defines the full set of statuses everyone can choose from. Once a status exists here, it shows up in the status dropdowns and lead views across the app.
Managing statuses is an admin task. You’ll find these screens under Settings, and only team members with permission to manage workspace settings can open them.

Where to find statuses

Open Settings

Go to Settings from the main navigation.

Open Leads

Choose Leads. The Leads settings area opens with two tabs at the top: Lead Statuses and Lead Sources. To set up where leads come from, see Lead sources.

Stay on Lead Statuses

The Lead Statuses tab lists every status your organization has, with its name, category, display order, and whether it’s active.

Read the statuses list

Each row in the list shows you the key facts about a status at a glance:
  • Name — the label your team sees in dropdowns and lead views.
  • Slug — a short, behind-the-scenes identifier (lowercase letters, numbers, and hyphens).
  • Order — where this status sits when statuses are sorted.
  • Category — the broad stage this status belongs to: New, In Progress, Done, or Cancelled.
  • Status — an Active or Inactive badge telling you whether the status is currently available to use.
Use the search box at the top to find a status by name. Admins can also add, rename, reorder, and delete lead statuses straight from the leads board — see Work the board.
Some statuses are built in and can’t be deleted — you’ll notice they have no delete button. You can still rename them, reorder them, and change their color.

Create a status

Start a new status

From the Lead Statuses tab, open the Create New menu in the top-right corner and choose Lead Status. This opens the Create New Lead Status form.

Name it

Fill in the Name — this is the display name shown in dropdowns and lead views (for example, Needs Follow Up).

Set the slug

Enter a Slug — a unique identifier for the status. It must be lowercase letters, numbers, and hyphens only (for example, needs-follow-up). Each slug has to be unique within your organization.

Add a description (optional)

Use the Description box to note what this status represents, so the rest of your team knows when to use it.

Choose the order

Set the Order — a whole number that controls where this status appears when statuses are sorted. Lower numbers come first.

Pick a category

Choose a Category: New, In Progress, Done, or Cancelled. The category tells the app what kind of stage this status represents — for example, Done and Cancelled are end-of-the-line stages.

Pick a color

Choose a Color so the status stands out in lists and badges. Options include Blue, Green, Yellow, Red, Purple, Teal, Fuchsia, Brown, and Neutral.

Decide if it's active

Leave Is Active checked to make the status available right away, or uncheck it to keep it out of use for now.

Save

Press Create Status. The new status appears in the list and becomes selectable wherever leads are tracked.
Each category has rules about how it can be used — for example, only one status can sit in the New category at a time. If a save is blocked because a category is already taken, the app will tell you, and you can pick a different category.

Edit a status

Open the status

In the Lead Statuses list, click the pencil icon on the row you want to change (on a phone, open the row’s menu and choose Edit).

Make your changes

Update the Name, Description, Order, or Color as needed, then press Save Changes.
For built-in statuses, a few fields are locked to keep your tracking consistent — the Slug, Category, and Is Active settings can’t be changed. You can always adjust the name, description, order, and color.

Turn a status on or off

If you want to retire a status without deleting it — say, one you no longer use but don’t want to remove from past leads — edit it and uncheck Is Active. It will show an Inactive badge in the list and drop out of the status pickers, while leads that already carry it keep their label. Re-check Is Active any time to bring it back.
Turning a status Inactive is the gentler alternative to deleting. Reach for it when you might want the status back later, or when older leads still reference it.

Delete a status

Choose the status

In the list, click the trash icon on the status you want to remove (on a phone, open the row’s menu and choose Delete). Built-in statuses don’t offer this option.

Confirm

A confirmation appears warning that the status will be permanently removed. Choose Delete to finish.
Deleting is permanent and can’t be undone. A status that still has leads assigned to it can’t be deleted — reassign those leads to another status first. If a status is still in use, or you simply might want it later, turn it Inactive instead.
