A lead is a potential customer you’re working toward winning. Creating one is the first step in your pipeline: you capture who they are, where the property is, and how they found you. Once a lead exists, you can qualify it, schedule a site visit, and eventually turn it into a client.
You only need a little to get started — a last name and a phone number is enough to save a lead. You can always fill in the rest later.

Start a new lead

Open the Leads page

Go to Leads from the main navigation. This is where every lead lives — you can search, filter, and reopen any of them here.

Click New Lead

Press the New Lead button in the top-right corner. The Create New Lead form opens. (If your list is empty, you’ll see a Create a new lead to get started prompt that does the same thing.)

Fill in the lead details

The form is grouped into a few simple sections. Work top to bottom.

Copy from an existing client (optional)

At the very top is Copy from existing client. If this person is already a customer, search for them by name, email, or phone and pick them — the form auto-fills their contact and address details so you don’t have to retype anything. If they’re brand new, just skip this and fill the form in yourself.
As you type a phone or email, the system quietly checks whether a matching client already exists. If it finds one, you’ll see a green Existing client found, auto-filled details banner and the details fill in for you.

Contact Details

This is the person you’ll be talking to — the primary contact for the lead.
  • First Name and Last Name — the contact’s name. (Last name is required.)
  • Phone and Email — a phone number is required; email is optional but worth capturing.
  • Relationship to Property — how this person relates to the property (for example, the homeowner or a tenant).
The first contact you enter is the Primary Contact, marked with a switch at the top of the card. You can add more people later — see Edit a lead and add contacts.

Property Details

Enter the Address of the property. Start typing and pick the match from the suggestions — the city, state, and ZIP fill in automatically, and the lead gets pinned correctly on the map. If the property has an apartment, suite, or unit number, add it in Address line 2, just below the street address. It’s optional.

Additional Details

  • Confidence Level — how likely you think this lead is to close: Low, Medium, or High.
  • Lead source — where the lead came from. See Set the lead source, confidence, and referral for what to expect when a source asks for referral info.
  • Lead notes — anything useful about the lead. Optional, but a good place for context the rest of the team should see.

Save it

When you’re done, click Create Lead at the bottom. You’ll see a Lead created successfully confirmation, and the new lead appears in your Leads list, ready to work.

Qualify the lead

Assign a branch, a coordinator, a salesperson, a status, and tags so the right people pick it up.

Schedule a site visit

Book a lead activity on the calendar so someone can go take a look.
