Crew Notes are where you capture anything the field team should know before they arrive — preferred communication style, special requests, access details, and other “don’t forget this” reminders. When AI is turned on for your branch, you can have it clean up and round out those notes for you so nothing important gets lost in shorthand. You’ll find Crew Notes in the job and inspection details step of the Calculator, in the Crew Notes section.

Jot down your notes

In the Crew Notes box, type whatever you’ve got — even rough, half-finished notes are fine. The prompt asks what is unique about this job or home — things like the home layout, tight spaces, hidden attics, or a detail-oriented homeowner.

Tap the AI button

A small sparkle button sits inside the notes box. When you already have notes, it reads Enhance with AI — tap it to polish them. (If the box is empty but you’ve filled in other visit details, the button reads Suggest with AI and drafts notes from that context instead.)

Wait a moment

The button spins while the AI works. When it’s done, your notes are replaced with the improved version, right in the box.

Keep it or undo it

After the AI updates your notes, two controls appear next to the sparkle:
  • Keep (the checkmark) — you’re happy with the result. This dismisses the prompt and leaves the new text in place.
  • Revert (the ×) — put your original notes back exactly as you wrote them.
The AI builds better notes when it has more to work with. Filling in the surrounding visit details first — like the customer’s demeanor, their main concerns, and any special instructions — gives it more context to draw from.
Crew Notes stay editable even after an estimate has been marked Sold or moved out of “In Progress” — they’re an annotation for the team, not part of the price.
