Voiding an invoice cancels it for good. Once an invoice has been sent and is sitting in Open status — meaning the client owes a balance — voiding it clears that outstanding amount, sets the invoice’s status to Voided, and stops it from being collected. Use it when an invoice was sent in error, the work was cancelled, or it’s being replaced by a corrected one.
Voiding is not the same as deleting. A Draft invoice that was never sent can simply be deleted. Voiding is for an invoice that has already gone out, so a record of it stays in your history.

Before you start

You can only void an invoice that’s in Open status — sent, with a balance still owed.
  • A Draft invoice can’t be voided. Delete it instead, or send it first.
  • A Paid or Partially Paid invoice can’t be voided. If money has already been recorded against it, you’ll work with a credit or payment instead.
  • An invoice that’s already Voided stays that way — the action can’t be reversed.

Void the invoice

Open the invoice

Go to the Invoices page and click the invoice you want to cancel. This opens its detail view, where you can see its line items, status, and history.

Open the actions menu

Click the More options button — the three-dot icon in the top-right of the invoice. From the menu, choose Void Invoice. (You’ll only see this option when the invoice is in Open status.)

Read the warning

A Void Invoice window opens with a warning banner. It confirms that voiding clears any outstanding amount due, that the client will no longer owe payment, and that the status will change to Voided. This action cannot be undone, so make sure you have the right invoice.

Pick a reason

Choose a Reason from the dropdown. This explains why the invoice is being cancelled and is required. (The choices in this list are set up by your workspace — see below.)

Add an internal note

Type an Internal Note describing the situation. This is required and is for your team’s records only — it isn’t shown to the client.

Confirm

Click Void Invoice to finish. You’ll see a confirmation that the invoice has been voided, and its status updates to Voided. To back out without changing anything, click Cancel instead.

What happens after voiding

  • The invoice’s status becomes Voided, and it shows up under the Voided tab on the Invoices page.
  • Any outstanding balance is cleared, so the client no longer owes payment on it.
  • The invoice stays in your records — it isn’t removed — so you keep a complete history of what was billed and why it was cancelled.
Voiding can’t be undone. If you voided the wrong invoice, you’ll need to create a new invoice to bill the work again.

Manage the list of void reasons

The reasons you can pick when voiding are defined per branch by your workspace. To review or add to them, go to Settings, open Invoices, and select the Credit & Void Reasons tab. There you can add a new reason with Create Reason — give it a Name, choose its Reason Type, add an optional Description, set whether it’s Enabled, and set a Sort Order that controls where it appears in the dropdown. Disabling a reason hides it from the void window without removing past records that used it.
Keep your reason list short and clear — for example “Billed in error”, “Job cancelled”, or “Replaced by corrected invoice”. Clean reasons make your voided-invoice history easy to scan later.
