The shift statuses
There are four statuses a shift can show.- Upcoming — a scheduled shift or task that nobody has clocked into yet. There is no recorded shift behind it; it is just the scheduled slot waiting to be worked.
- In Progress — someone has clocked in and is currently working (this includes time spent on break).
- Pending Approval — the shift has been clocked out (or otherwise submitted) and is waiting for a manager to approve it.
- Approved — a manager has approved the shift. This is the final state.
The lifecycle
A shift moves through the statuses like this:- Clock in turns an Upcoming slot into an In Progress shift.
- Clock out moves an In Progress shift to Pending Approval and records the worked hours.
- Approve moves a Pending Approval shift to Approved.
- A manager can edit and approve in one step, taking a Pending Approval (or Approved) shift straight to Approved.
- A crew member can submit changes to their own Pending Approval shift; it stays Pending Approval.
- A manager can enter shift details for an Upcoming slot that was never clocked into; the resulting shift is created already Approved.
- A manager can reset a Pending Approval or Approved shift, which erases its recorded times and returns the slot to Upcoming.
Clocking in
Who can clock into a shift
- For a scheduled job shift, you must be assigned to that shift’s team — unless you are a manager (Admin or Ops Manager), who can clock in on a crew member’s behalf.
- Not assigned and not a manager → “You are not assigned to this shift.”
- The shift has no assigned team members and you aren’t assigned → “This shift has no assigned team members.”
- For a scheduled task, you must be the task’s assignee — unless you are a manager.
- Not the assignee and not a manager → “You are not assigned to this task.”
- The task isn’t set up to track time → “This task is not configured for shift tracking.”
Clocking in for someone else
A manager clocking in can target a specific assigned crew member. If they don’t pick one, the shift defaults to the first assigned team member (for tasks, it defaults to the task’s assignee).One active shift at a time
A person can only have one In Progress shift at a time, across both job and task shifts.- If you try to clock into the same scheduled slot you’re already clocked into, nothing breaks — it just returns your existing shift.
- If you already have an active shift on a different slot → “You already have an active shift. Please clock out first.” (When switching shifts, the shorter “You already have an active shift.” is shown.)
Breaks
Breaks only apply to an In Progress shift, and they do not change the shift’s status.- Start break — only on an active shift (“This shift is not currently active.” otherwise), and only if you aren’t already on break (“You are already on break.” otherwise).
- End break — only when a break is open (“No active break to end.” otherwise).
Clocking out
- You must have access to the shift — be its owner, or a manager in the same workspace — or you’ll see “You do not have access to this shift.”
- The shift must be In Progress, or you’ll see “This shift is not currently active.”
- The shift must have a recorded clock-in time, or you’ll see “Invalid shift data.”
Switching shifts
A switch clocks you out of your current shift (if it’s still running) and clocks you into a different scheduled slot in one step.- You must have access to the current shift (same owner-or-manager rule as clocking out).
- The new slot goes through the same assignment checks as a normal clock-in.
- If your current shift isn’t In Progress, you must have no other active shift, or you’ll see “You already have an active shift.”
Editing a shift
Crew member: submit changes
A crew member can edit their own shift only while it is Pending Approval.- A modification note is required, or you’ll see “A modification note is required when editing a shift.”
- The shift must be Pending Approval, or you’ll see “Only shifts pending approval can be modified.”
- Every break must have an end time, or you’ll see “All breaks must have an end time.”
- A modification note is present (crew members only — managers are exempt).
- Clock-out is after clock-in: “Clock out time must be after clock in time.”
- Every break has an end time, starts at or after clock-in, ends at or before clock-out, and ends after it starts. Inline messages include “End time is required.”, “End time must be after start time.”, “Start time must be after clock in time.”, and “End time must be before clock out time.” for each break.
Manager: edit and approve
A manager can edit and approve in one step.- The shift must not be In Progress: “This shift is still active. The crew member must clock out before it can be edited and approved.”
- No modification note is required for managers.
- The shift’s hours are recomputed and it moves to Approved.
Approving a shift
Approving a shift is a manager action (Admin or Ops Manager).- You need permission to update the shift, or you’ll see “You do not have permission to perform this action.”
- The shift must belong to your current workspace, or you’ll see “You do not have access to this shift.”
- The shift must be Pending Approval, or you’ll see “This shift is not pending approval.”
- The shift must have both a clock-in and a clock-out time, or you’ll see “This shift has incomplete time data.”
Entering shift details for an upcoming slot
When a crew member never clocked in, a manager can enter the clock-in, clock-out, and break times directly. The resulting shift is created already Approved.- The crew member the shift belongs to must be identifiable, or you’ll see “Cannot determine which employee this shift belongs to. Please try again from the shifts list.”
- You need update permission, or you’ll see “You do not have permission to perform this action.”
- The slot must be in your current workspace, or you’ll see “You do not have access to this shift.”
- If a shift already exists for this person and slot: if it’s already Approved it’s simply returned; otherwise you’ll see “A shift already exists for this schedule. It may have been clocked in by the employee.”
- Every submitted break must have an end time, or you’ll see “All breaks must have an end time.”
- If the slot is missing its schedule information, the action is blocked: “This shift is missing required schedule information.”
Resetting a shift
A reset permanently erases a recorded shift and returns the slot to Upcoming. It is a manager action.- You need update permission, or you’ll see “You do not have permission to perform this action.”
- The shift must be in your current workspace, or you’ll see “You do not have access to this shift.”
- Only Pending Approval or Approved shifts can be reset — not an In Progress one: “Only shifts that are pending approval or approved can be reset.”
Which actions appear, by status and role
Whether a button appears depends on the shift’s status and whether you’re a manager. Here, Manager means Admin or Ops Manager — the only roles with shift write access. On the shifts page, managers see the workspace-wide view of all employees’ shifts; everyone else (including Crew Leaders) sees only their own shifts and uses the Crew member column below.
In short:
- Managers can edit and approve a Pending Approval shift, edit an Approved shift, reset a Pending Approval or Approved shift, and enter details for an Upcoming slot.
- Crew members can only edit their own Pending Approval shift (submitting changes with a note).
- Approved shifts are read-only for crew members.
Who can work with shift records at all
Access to shift records is scoped to your workspace and branch, and gated by role:- View — any member of the workspace.
- Create, update, and delete — Admin and Ops Manager only. A Crew Leader can view shifts and clock into their own, but cannot create, update, approve, reset, or enter details on others’ shifts.
Shifts on a closed job
A time-tracked shift can still be created or updated even on a closed job, so approvals and corrections can be finished after the job closes.
