The crew lead is the Team Lead on a scheduled day
When you schedule a job, each working day has a Team Lead field — this person is the job’s crew lead for that day. A multi-day job can have a different Team Lead on each day. The Team Lead is chosen per day in the New Job scheduling flow. It is not a separate record; it lives on the day you schedule.The crew lead is optional

The Team Lead picker only offers people who meet all of the rules below. If someone is missing from the dropdown, one of these is the reason.Must hold the Crew Leader role
The Team Lead dropdown is limited to people who have the Crew Leader role. Someone without that role will not appear as an option, even if they are otherwise on the team.Must belong to the job’s branch
Only people assigned to the job’s branch are offered. People from other branches do not appear in the Team Lead picker. See Org and branch scoping for how branch membership controls who is visible.Must be an active, real team member
The picker hides:- Blocked members — anyone whose account is blocked.
- Reserved/system names — internal placeholder entries (for example, names used for warranty calls, complaints, quality-control visits, or delivery costs) are never offered as a Team Lead.
Two people stay selectable even if they’d otherwise be hidden
To avoid losing an existing choice, two people remain available in the picker even if the rules above would normally exclude them:- the default crew lead carried over from the job’s planning defaults, and
- anyone already assigned as the Team Lead on one of the days you’re currently scheduling.
The “must be a Crew Leader” rule is applied in the scheduling picker. The picker is where eligibility is enforced — so make the assignment through the Team Lead field rather than expecting a separate check elsewhere.
Who can assign a crew lead
Assigning a crew lead happens when you save or publish a job’s scheduled days. There is no separate “assign crew lead” permission — it is part of being allowed to edit the schedule.What it takes to assign
To set or change a Team Lead, you must:- Be able to open the Schedule (the scheduling area must be available to your role), and
- Have permission to edit the schedule for that job, and
- Be acting within your own organization and have access to the job’s branch.
Roles that can assign a crew lead
A Crew Leader can therefore both be a Team Lead and assign one, because the Crew Leader role can open and edit the schedule. A Crew Member cannot assign a crew lead.

Who managers can act on
When a manager-level role opens the schedule, the people they can act on (including who they can set as Team Lead) span the team for that branch: Crew Member, Crew Leader, Sales Member, Ops Manager, Sales Admin, Client Coordinator, and Admin. Setting a crew lead is part of staffing a job, which ties into the job’s status:- A job with no crew assigned sits in Requires Crew Lead.
- Assigning crew moves the job into Plans In Progress.
- Removing all crew from a job that isn’t closed sends it back to Requires Crew Lead.
