# Access cross branch

> Who can open the Schedule, whose events each role sees, and how Cross-Branch Calendar Sync widens visibility across branches.

This reference explains who can open the Schedule, whose events each role sees within a branch, and how the **Cross-Branch Calendar Sync** workspace setting widens visibility across branches.

The user-facing roles referenced below are **Admin**, **Ops Manager**, **Sales Admin**, **Sales Member**, **Client Coordinator**, **Crew Leader**, and **Crew Member**. All access is enforced on the server; the on-screen controls (read-only sheets, the branch filter) mirror that enforcement but are not the security boundary.

## Who can open the Schedule

### Every staff role can open the Schedule

When the Schedule is enabled for your workspace, all staff roles can open it: Admin, Ops Manager, Sales Admin, Sales Member, Client Coordinator, Crew Leader, and Crew Member.

If the Schedule feature is turned off for your workspace, no one can open it, regardless of role. When it is off, the page returns a "not found" result rather than redirecting.

What differs between roles is not whether they can open the Schedule, but **whose** events they see once inside, and whether they can edit them.

## Whose events each role sees

Within a branch, roles fall into two visibility tiers: those who see everyone's events, and those who see only their own. There is one read-only exception for Sales Members.

### Roles that see all events in the branch

These roles see every event in the branch, including unpublished draft shifts:

* **Admin**
* **Ops Manager**
* **Sales Admin**
* **Client Coordinator**

### Roles that see only their own events

These roles see only the events they are assigned to, and do not see draft shifts:

* **Sales Member** (plus a read-only exception, below)
* **Crew Leader**
* **Crew Member**

A Crew Leader can create, view, update, and delete their own events but does not see other people's events. A Crew Member sees only the events they are assigned to.

### Sales Member exception: read-only Job-mode events from their estimates

A Sales Member also sees events tied to jobs that came from estimates they created. These appear only in **Job** calendar mode and are **read-only** — the Sales Member can see them but cannot edit them. Outside of their own assigned events and these estimate-linked job events, a Sales Member sees nothing else in the branch.

### The Users filter (Day / Week views) follows the same split

In the Day and Week views, the dropdown that lets you filter rows by person is populated for roles that can see everyone's events: **Admin**, **Ops Manager**, **Sales Admin**, and **Client Coordinator**. For everyone else, the dropdown contains only themselves.

## Cross-branch visibility

By default, the Schedule shows only your **currently selected branch**. Seeing events from other branches is opt-in and only becomes available when all of the following are true.

### Three conditions must all be met

1. An Admin has turned on **Cross-Branch Calendar Sync** for the workspace.
2. You are assigned to **two or more branches**.
3. The cross-branch view is requested (via the Branches filter).

If you are assigned to only one branch, you never see other branches' events — even when the setting is on.

### You can only see branches you're assigned to

When cross-branch view is on, the branches you can display are limited to the branches you are assigned to. You can never widen visibility to a branch you do not belong to. If you make no branch selection, the view shows all of the branches you are assigned to.

### Events from other branches are read-only

An event that belongs to a branch other than your currently selected branch opens a **read-only detail view** instead of the editable one. Editing stays scoped to your own current branch. If you follow a deep link to a job, shift, or activity in a different branch, you are switched to that branch rather than shown a cross-branch edit screen.

### The Branches filter only appears when cross-branch is enabled

The **Branches** section of the filter only shows up when Cross-Branch Calendar Sync is on and you are assigned to more than one branch. Otherwise there is nothing to filter across, so the section is hidden.

## The workspace setting that enables it

**Cross-Branch Calendar Sync** is a single workspace-level checkbox found under **Settings → Calendar**. The on-screen description reads: *"When enabled, calendar display events across all branches for team members assigned to multiple branches."*

### Who can change it

Only an **Admin** can turn Cross-Branch Calendar Sync on or off. The Calendar settings screen is reachable only by users who can manage workspace settings; anyone else who tries to reach it is redirected back to the settings landing screen. Saving shows a "Calendar settings saved" confirmation, or "Failed to update setting" if it doesn't save.

This setting has no per-user effect unless the user is assigned to two or more branches — see [Cross-branch visibility](#cross-branch-visibility) above.

## Quick reference

* **Open the Schedule:** every staff role, as long as the Schedule is enabled for the workspace.
* **See all branch events (including drafts):** Admin, Ops Manager, Sales Admin, Client Coordinator.
* **See only their own events:** Sales Member, Crew Leader, Crew Member.
* **Sales Member extra:** read-only, Job-mode events from jobs linked to their own estimates.
* **Turn on Cross-Branch Calendar Sync:** Admin only (Settings → Calendar).
* **Cross-branch events are always read-only**, and limited to the branches you are assigned to.
