# Tags

> Create and manage the tags your team uses to label and organize leads and projects, then keep the list tidy by editing or deactivating tags as needs change.

**Tags** are short, reusable labels you create once and then attach to records to group and organize them — for example to flag a referral, a priority lead, or where a project stands. Each tag has a **type** that decides what it can label: **Lead** tags go on leads, and **Project** tags go on projects. You manage the master list of tags from **Settings**, and your team applies them out in the workspace.

  Tags settings live in the admin **Settings** area, so creating, editing, and deactivating tags is available to admins. Once a tag exists, anyone on your team who works with leads can apply it.

## Open the Tags page

    Select **Tags** in the settings list. You can also use the settings search and type "tags" (or "labels" or "categories") to jump straight there.

The page header reads **Tags** with the subtitle *Manage tags for organizing leads and projects*. Below it is a searchable, sortable table of every tag in your workspace.

## Read the tags table

Each row in the table shows three things:

* **Tag Name** — the label your team sees and selects.
* **Type** — what the tag is used for. A tag is either a **Lead** tag (applied to leads) or a **Project** tag (applied to projects).
* **Status** — an **Active** or **Inactive** badge. Active tags can be applied to leads; inactive ones cannot be newly assigned.

Use the **Search by name...** box at the top of the table to find a tag, and click a column heading to sort. You can also adjust how many tags appear per page.

  On a phone, each tag appears as a card instead of a table row, with the same status badge and an actions menu in the corner.

## Create a tag

    Press the **Create New** button in the top-right of the Tags page. The **Create Tag** dialog opens.

  <Step title="Enter a name">
    In the **Name** field, type the label you want, such as "Referral" or "High Priority". Keep it short and clear — this is exactly what your team will see when they pick tags.

  <Step title="Choose a type">
    Set the **Type**. Choose **Lead** to make the tag available when labeling leads, or **Project** to make it available when labeling projects. A tag's type is fixed to one or the other, so pick the records you want this label to organize.
  </Step>

  <Step title="Confirm it is active">
    The **Is Active** checkbox is on by default, so the new tag is ready to use right away. Leave it on unless you are setting up a tag you do not want available yet.

  <Step title="Save">
    Click **Create**. You will see a confirmation that the tag was created, and it appears in the table immediately.

<Tip>
  Decide on a small, consistent set of tag names before you start creating them. A tidy list — a handful of meaningful labels rather than dozens of near-duplicates — is far easier for your team to use well.

## Edit a tag

    In the table, click the **pencil** (edit) icon on the tag's row. On a phone, open the tag's actions menu and choose **Edit**.

  <Step title="Update the details">
    The **Edit Tag** dialog lets you change the **Name**, the **Type**, and the **Is Active** setting.

  <Step title="Save changes">
    Click **Save Changes**. The button stays disabled until you actually change something, so an accidental open never alters a tag.

<Note>
  Renaming a tag updates it everywhere it is already applied — every lead that carries the tag will show the new name. Rename thoughtfully so existing labels still make sense.

## Deactivate a tag

When a tag is no longer useful, you deactivate it rather than deleting it. Deactivating keeps your history intact while taking the tag out of circulation for new work.

    Click the **trash** icon on the tag's row (or choose **Deactivate** from the actions menu on a phone). A confirmation dialog titled **Deactivate tag?** appears.

    Read the note — the tag can no longer be assigned to new items, but existing assignments are preserved — then click **Deactivate**.

After deactivation the tag's status shows **Inactive**, and the trash icon for that row is disabled with the hint *This tag is already inactive*. The tag stays in the table for the record; if you ever need it again, open it and turn **Is Active** back on.

<Note>
  There is no permanent delete for tags. Deactivating is the intended way to retire one, which is why leads that were already tagged keep their labels.

## Apply tags to a lead

Creating tags in Settings just builds the menu. Your team applies them while working a lead:

    Go to a lead's detail page.

    Find the **Tags** field, start typing to search your active tags, and pick the ones that apply. You can attach several at once, and changes save on their own.

Applied tags appear in the **Tags** column on the leads list, so you can scan and filter your pipeline at a glance. Only **Active** tags show up in the picker, which is exactly why deactivating a tag removes it from future use without disturbing the leads that already carry it.
