# Roles branches

> Understand how roles and branches control what each person sees and does, then assign them to your team from the Users and Branch Configuration pages.

Two settings decide what each person on your team can see and do: their **roles** and their **branches**.

* A **role** is the job a person has in the system — for example **Admin**, **Ops Manager**, or **Crew Member**. The role controls which pages and actions are available to them.
* A **branch** is a location your company works out of. Assigning someone to a branch decides which work, schedules, and numbers they see.

Together they answer two questions for every teammate: *what are they allowed to do?* and *which part of the business do they do it in?*

  These settings live in the **Admin** area. You'll only see the Settings pages described here if your role can manage your organization and its people — most often an **Admin**.

## Roles at a glance

When you add or edit a person, you pick one or more roles for them. The roles you can choose from are:

* **Admin** — full run of the workspace: settings, branches, pricing, and people.
* **Sales Admin** — oversees the sales side and the sales team.
* **Ops Manager** — runs day-to-day operations and scheduling for a branch.
* **Crew Leader** — leads a crew in the field.
* **Crew Member** — works on jobs in the field.
* **Sales Member** — builds estimates and works leads.
* **Client Coordinator** — handles customer scheduling and communication.

<Tip>
  A person can hold more than one role. When they do, they get the combined access of all the roles you give them — so you rarely need a special "extra access" account. Just add the second role.

## How branches fit in

Most companies run more than one location. A branch keeps each location's work, schedule, and performance numbers separate, while still living under one organization.

Assigning a person to a branch does two things:

* It puts their work, schedule, and results in that branch's view.
* It lets people who oversee a branch see that person's activity.

You can assign someone to **more than one branch** if they work across locations. If you only run a single location, everyone simply belongs to that one branch.

## Assign roles and branches to a person

Roles and branches are set per person on the **Users** page.

  <Step title="Open Users">
    In **Settings**, open **Users** under the **General** group. This lists everyone in your organization, with their **Roles** and **Branches** shown as labels on each row.
  </Step>

  <Step title="Add or edit the person">
    To set up someone new, click **Add User** and fill in their name and email. To change an existing person, open the row's actions menu (the three-dot button) and choose **Edit**.

  <Step title="Pick their roles">
    In the **Roles** field, select one or more roles. Type to search if your list is long. Each role you add appears as a labeled chip you can remove.

  <Step title="Pick their branches">
    In the **Branches** field, select every branch the person works in. Like roles, you can choose more than one.
  </Step>

  <Step title="Save">
    Click **Create** (for a new person) or **Save Changes** (when editing). The Users list updates with the new roles and branches.

<Tip>
  New people receive a password setup email automatically, so you don't have to share a password yourself. When adding someone, you set a temporary password just to create the account — they'll set their own on first sign-in.

### Find people by role or branch

The Users page has a search box and filters at the top. Search by **name or email**, or filter the list down to a specific **role** or **branch** to quickly see, for example, everyone in one location or every Crew Leader on the team.

### Other things you can do to a person

From a user's actions menu you can also:

* **Block** someone so they can no longer sign in (and **Unblock** them later to restore access). A person's **Status** shows as **Active** or **Blocked** in the list.
* **Reset Password** — sends them a fresh password-reset email.
* **Invalidate sessions** — signs the person out everywhere, useful if a device is lost.

<Note>
  Blocking removes access without deleting the person, so their history stays intact. It's the safe way to off-board someone who has left.

## Create and manage branches

Branches are managed on the **Branch Configuration** page.

    In **Settings**, open **Branch Configuration** under the **General** group. You'll see every branch in your workspace, with its name, timezone, address, and phone number.

  <Step title="Create a branch">
    Click **New Branch**. Fill in the **Branch Details** — at minimum a **Branch Name**, **Branch Address**, and **Timezone** — then add the location's pricing and cost defaults in the sections below.

  <Step title="Save">
    Click **Create Branch**. The new branch is now available to assign people to on the Users page.

To change an existing branch, click the **edit** (pencil) button on its row. The branch form is organized into clear sections — **Branch Details**, **Costs & Production**, **Pricing & Finance**, and **System Customization** — so you can find the setting you need and **Save** your changes.

<Tip>
  Each branch needs at least one **Multiplier Range** selected in its details before the estimate calculator can price work for that branch. If pricing isn't working for a location, check that this is set.

## A simple way to plan it

When you bring someone on, think through it in two quick passes:

    Pick the role (or roles) that matches their job. When in doubt, start with the narrower role — you can always add another later.

  <Step title="Decide where they do it">
    Assign the branch (or branches) they work in. People who oversee multiple locations get multiple branches; everyone else gets just theirs.

<Note>
  If someone says they can't see a job, a schedule, or a page they expect, the cause is almost always one of these two settings. Open their profile on the **Users** page and check that their **roles** and **branches** are right.
</Note>
