# Log time off

> Block out vacation, sick days, or other time away on the schedule so the team can see who's unavailable and avoid booking over it.

Logging time off puts a block on the **Schedule** for a person who won't be available — a vacation day, a sick day, or anything else. Once it's on the calendar, everyone planning work can see it, and the app warns you if someone tries to book a job over that time.

<Note>
  What you can do depends on your role. If you can schedule for the team, you can log time off for anyone. Otherwise, you can log time off for yourself.

## Add time off

<Steps>
  <Step title="Open the Schedule">
    Go to **Schedule** from the main navigation.
  </Step>

  <Step title="Open the Create New menu">
    Click **Create New** in the top-right corner, then choose **Time Off** from the menu. This opens the **Schedule Time Off** panel on the right.
  </Step>

  <Step title="Pick a reason">
    Open the **Reason** field and choose **Sick**, **Vacation**, or **Other**.
  </Step>

  <Step title="Choose who it's for">
    In **Assign To**, pick the person taking the time off. If you can only schedule for yourself, this shows your own name and there's nothing to change.
  </Step>

  <Step title="Set the dates and times">
    Fill in **Start Date** and **End Date**. By default you also set a **Start Time** and **End Time** for each. To block out whole days instead, turn on **All day event** and the time fields drop away — you just pick the start and end day.
  </Step>

  <Step title="Add a description (optional)">
    Use the **Description** box for any extra detail — where someone will be, who's covering, or a note for the team.
  </Step>

  <Step title="Publish it">
    Click **Publish Time Off**. The block appears on the schedule and the person is marked unavailable for that window.
  </Step>
</Steps>

<Tip>
  You can also start from the calendar itself: click an empty time slot to open the same panel with that date and time already filled in.
</Tip>

## If there's a scheduling conflict

When the time off you're publishing overlaps with something already on that person's calendar — like a job they're booked on — the app stops and shows you the conflict before saving. Review what overlaps, then either go back and adjust your dates and times, or continue if the overlap is fine. Sorting this out up front keeps the schedule honest about who's actually free. For more on untangling overlaps, see [Resolve a scheduling conflict](/guides/schedule/resolve-a-conflict).

## Edit or remove time off

Already-logged time off can be changed or taken down.

<Steps>
  <Step title="Open the entry">
    On the schedule, click the time-off block you want to change. The panel opens with the existing details, titled **Time Off**.
  </Step>

  <Step title="Make your change">
    Update the reason, dates, times, or description. When you've changed something, click **Save Changes**.
  </Step>

  <Step title="Or delete it">
    To remove the time off entirely, click **Delete**. You'll be asked to confirm, and you can choose **Notify User** to let the person know their time off was removed.
  </Step>
</Steps>

<Note>
  Each time-off entry shows who created it and when, so it's clear where it came from.
