# Add crew equipment vehicles

> Staff each day of a job — pick the workers and their hours, assign subcontractors, then choose how many vehicles and pieces of heavy equipment the crew needs — using the Job Planner.

When you build a plan for a job, you plan it one day at a time. For each day you tell the **Job Planner** who's working and for how long, which subcontractors are on the job, which vehicles the crew takes, and what heavy equipment they'll need on site. This guide walks through each one.

  You set crew, subcontractors, vehicles, and equipment **per day**. If a job runs several days, repeat these steps on each day — the numbers can be different from one day to the next.

## Before you start

Open the job's plan first. Each day in the planner is a card titled **Day 1**, **Day 2**, and so on, and it shows whether it's still **In Progress** or **Complete**. If you don't have a day yet, add one with **Add Day**.

Inside each day you'll see numbered sections. Crew, subcontractors, vehicles, and equipment are sections 2 through 5:

* **3. Assign Subcontractors** (optional)
* **4. Add Vehicles**
* **5. Add Heavy Equipment**

Open a section to fill it in, then move on to the next.

## Add the crew

The **Add Employees** section is where you pick the workers for the day and set each person's hours. Its prompt reads "Choose your workers and their hours."

    On the day you're planning, open the **2. Add Employees** section.

    Click **Add another employee**. This opens the **Request Employees** window with the list of people you can assign.

  <Step title="Find and select your workers">
    Use **Search by name** to narrow the list, then click anyone you want on the job to check them. A running **Selected** count at the top tells you how many you've picked. Click a selected person again to remove them.

  <Step title="Save your selection">
    Click **Save Changes** to add those workers to the day. (Use **Cancel** to back out without changes.)

  <Step title="Set each person's hours">
    Back on the day, every worker has an **Hours** stepper next to their name. Use the minus and plus buttons to set how long that person works that day.

To take someone off the day, click the trash icon next to their name. To add more people, click **Add another employee** again.

<Note>
  The workers you can choose come from your branch's team. If someone you expect isn't in the **Request Employees** list, they may not be set up for your branch yet — check with whoever manages your team.

## Add subcontractors

The **Assign Subcontractors** section is where you add the outside companies working the day alongside — or instead of — your own crew. Its prompt reads "Assign one or more subcontractors to this job." The section is optional, and it opens as soon as the day's work order is done, so you can fill it in before or after your employees.

    On the day you're planning, open the **3. Assign Subcontractors** section. Until you've picked anyone, it reads "No subcontractors selected."

  <Step title="Open the picker">
    Click **Assign Subcontractors**. The **Assign Subcontractors** window lists the active subcontractors for your branch, each with their description underneath if they have one.

  <Step title="Find and select subcontractors">
    Use **Search by name...** to narrow the list — it matches the description too, so you can search by trade. Click a subcontractor to check them, and click again to uncheck.

  <Step title="Save your selection">
    Click **Save Changes** to add them to the day, or **Cancel** to back out. Then click **Save Changes** at the bottom of the section to mark it done.

Each subcontractor you assign shows as a card on the day. To change the list, click **Assign Subcontractors** again and check or uncheck names.

<Note>
  Subcontractors don't get hours or quantities — you're only noting which companies are on the job that day. Each subcontractor can be assigned once per day. To have them back another day, assign them on that day too.

<Tip>
  If the section says "No subcontractors have been created yet.", your branch has no active subcontractors. The **Create a new subcontractor.** link opens Settings in a new tab — see [Subcontractors](/guides/settings/subcontractors) for how to add one. Settings are Admin-only, so ask an Admin if you can't open it.

## Add the vehicles

The **Add Vehicles** section is about how many vehicles of each type the crew needs — not specific named vehicles. Its prompt reads "Select how many vehicles of each type you need for this day."

    On the same day, open the **4. Add Vehicles** section. You'll see a card for each vehicle type available to your branch.

  <Step title="Choose a type">
    Click a vehicle type's card to select it. A checkmark shows it's chosen.

  <Step title="Set the quantity">
    Once a type is selected, a number stepper appears. Use minus and plus to set how many of that type the day needs. The plus button stops once you reach the number your branch has, so you can't ask for more than exist.

  <Step title="Repeat for other types">
    Select and set a quantity for each vehicle type the day calls for. Unchecking a type clears its quantity back to zero.

<Note>
  If this section says "No vehicles available for your branch," there are no vehicles set up yet for your branch. You can finish the rest of the plan and add vehicles once they're available.
</Note>

## Add the heavy equipment

The **Add Heavy Equipment** section works exactly like vehicles — you choose how many of each equipment type the day needs. Its prompt reads "Select how many items of each equipment type you need for this day."

    Click an equipment type to select it, then use the number stepper to set how many that day needs. As with vehicles, you can't request more than your branch has.

  <Step title="Repeat for other types">
    Do the same for each equipment type the work requires.

<Note>
  If this section says "No equipment available for your branch," there's no heavy equipment set up for your branch yet — finish the rest of the plan and come back when it's available.
</Note>

## Wrap up the day

Once a day has its work order, employees, vehicles, and equipment filled in, the day's card flips from **In Progress** to **Complete**. Subcontractors are optional and don't hold up completion. There's also a **6. Add Daily Notes** section if you want to leave the crew a note for the day.

<Note>
  A day can be worked by your employees, by subcontractors, or both — but every day needs at least one employee or one subcontractor before the plan can be submitted.
</Note>

<Tip>
  You don't have to finish everything in one sitting. Use **Save Draft** to keep your progress and come back later — your crew, subcontractor, vehicle, and equipment picks are all saved with the draft.
</Tip>

When every day is complete, submit the plan from the **Job Planner** for approval.
