# Review calls and voicemails

> Find past calls in the Communications inbox, call back missed callers, listen to voicemails, and link calls to the right lead, client, or project.

Every call to or from your business numbers is kept in Menaia, in the conversation with the person you talked to. This guide shows you how to find past calls, follow up on missed ones, and connect calls to the lead, client, or project they're about.

<Note>
  Calls live in [Communications](/guides/calls/inbox), which is available to every role except **Crew Member**. If you don't see it, it isn't turned on for your workspace.
</Note>

## Find a call

Open **Communications** and click the **Calls** tab. It lists every conversation that includes at least one call, with the most recent activity first.

* **Search** by contact name or phone number.
* **Pick a number** from the number switcher to see only calls on that line. See [Switch between your numbers](/guides/calls/inbox#switch-between-your-numbers).
* **Read the icon** next to each preview to see how the latest call went: incoming, outgoing, missed, or blocked.

Click a conversation to open it. Calls appear in order alongside the texts and voicemails you've exchanged with that person.

## Read a call in a conversation

Each call shows as an entry in the conversation:

| Entry | What it means |
| - | - |
| **Incoming Call** | This person called you and someone answered. Shows how long the call lasted. |
| **Outgoing Call** | Your team called this person. Shows how long the call lasted, if they picked up. |
| **Missed call** | This person called and nobody answered. Has a **Call back** button. |
| **Blocked call** | The number is on your blocked list, so the call didn't ring. See [Blocked numbers](/guides/settings/communications#blocked-numbers). |
| **Transferred to** | The call was transferred to a teammate. |

## Follow up on missed calls

Click **Call back** on a missed call to call the person straight away. See [Make and take calls](/guides/calls/use-the-dialer).

Depending on your workspace's settings, a missed caller may also:

* **Get a text back automatically.** It appears in the conversation with an **Auto** tag. See [Missed-call auto-text](/guides/settings/communications#missed-call-auto-text).
* **Leave a voicemail.** It appears in the conversation and on the **Voicemails** tab.

## Listen to voicemails

A voicemail shows in the caller's conversation with a **Play** button, its length, a **Call back** button, and the **AI TRANSCRIPT** once it's ready. While the transcript is still being prepared, you'll see "Transcribing…".

To see every voicemail in one place, open the **Voicemails** tab. Unheard voicemails are bold with a dot, and the first time anyone plays one, it's marked heard for everyone. You can also delete voicemails from there. See [Voicemails](/guides/calls/inbox#voicemails).

## Link a call to a lead, client, or project

When a call comes in or goes out, Menaia connects it to the contact with that phone number. To connect it to a specific lead, client, or project, link it yourself:

<Steps>
  <Step title="Open the conversation">
    Open the conversation with the call. If you're linking a voicemail's call, open the voicemail from the **Voicemails** tab.
  </Step>

  <Step title="Open Call options">
    Click **More actions** (the three dots) in the header, then click **Call options**. The menu applies to the most recent call in the conversation.
  </Step>

  <Step title="Pick where it belongs">
    Under **Link to existing**, choose a **Lead**, **Client**, or **Project**. Menaia lists the leads, clients, and projects whose contacts have this phone number. You'll see "Call linked".
  </Step>
</Steps>

If the caller isn't in Menaia yet, click **Create New Lead** in the same menu. The **Create Lead** form opens with the caller's number filled in, and the call is linked to the new lead when you save it. If **Link to existing** doesn't appear, no lead, client, or project has a contact with this number.

<Tip>
  Link calls to the project they're about. Linked calls show up on the project's **Recent Calls** card, so anyone opening the project can see the latest conversations with the customer.
</Tip>

## Recent calls on a project

A project's **Overview** has a **Recent Calls** card with the five latest calls linked to that project. Each call shows:

* The lead or client name, or the phone number.
* An icon for the direction. Missed incoming calls are red.
* The outcome (**Completed**, **Missed**, **Busy**, **Failed**, **Canceled**, **Blocked**, **Ringing**, or **In progress**) and how long the call lasted.
* How long ago it happened.

If no calls are linked to the project yet, the card says "No calls yet."

## Who can do what

| Action | Who |
| - | - |
| See calls and voicemails, call back, link a call to an existing lead, client, or project | Every role except Crew Member |
