# Auto deposit invoices

> Turn on automatic deposit invoices so a deposit is created — and optionally sent to the client — the moment a proposal is signed, with no manual steps.

When a customer signs a proposal, you usually want to collect a deposit right away. Instead of building that first invoice by hand every time, you can let Menaia do it for you. With **Invoice Automations** turned on, a deposit invoice is created automatically as soon as a proposal is signed — and if you want, it's emailed to the client without you lifting a finger.

These settings live in your branch's invoice settings, so you can turn them on for one branch and leave them off for another.

<Note>
  Invoice settings are part of your workspace settings. If you don't see them, your role may not include access — ask an admin on your team to make the change or grant you access.
</Note>

## Open Invoice Automations

<Steps>
  <Step title="Go to Invoices settings">
    From **Settings**, open **Invoices**. This is where you tailor how invoices work for each branch.
  </Step>

  <Step title="Pick the branch">
    If your company has more than one branch, use the **branch selector** at the top right to choose the one you want to set up. Each branch has its own automation settings.
  </Step>

  <Step title="Stay on the Overview tab">
    The **Overview** tab is selected by default. The **Invoice Automations** panel is right there.
  </Step>
</Steps>

## Turn on automatic deposit invoices

The Invoice Automations panel has two checkboxes that work together.

<Steps>
  <Step title="Check Auto Create Deposit Invoice">
    Tick **Auto Create Deposit Invoice**. From now on, whenever a proposal is signed in this branch, Menaia creates a deposit invoice for that job automatically. The setting saves on its own — there's no separate Save button, and you'll see a brief confirmation.
  </Step>

  <Step title="Optionally check Auto Send Deposit Invoice">
    If you also want each new deposit invoice emailed to the client the moment it's created, tick **Auto Send Deposit Invoice**. With this off, the deposit invoice is still created automatically — it just waits for you to review and send it yourself.
  </Step>
</Steps>

<Note>
  **Auto Send** depends on **Auto Create.** You can only turn on sending while creating is on, and if you ever turn off **Auto Create Deposit Invoice**, sending switches off with it.
</Note>

<Tip>
  For automatic sending to work, the client needs an **email address on file.** If there's no email, the deposit invoice is still created for that job — you'll just need to add the client's email and send it manually.
</Tip>

## How to turn it off

To stop creating deposit invoices automatically, uncheck **Auto Create Deposit Invoice**. Sending turns off at the same time. Any deposit invoices already created stay exactly as they are — turning the setting off only changes what happens for proposals signed from that point on.

## What happens next

Once it's on, every signed proposal in that branch produces a deposit invoice you can find with your other invoices. From there you can review it, preview the document, record a payment, or send it on whenever you're ready.

<Note>
  If your team builds a **payment schedule** on the proposal, the deposit invoice follows that schedule's deposit. If you remove the deposit from the schedule — or change it so it's no longer the deposit — signing that proposal won't auto-create a deposit invoice.
